Online appointment booking system for your business

If you work by appointment, you probably spend a good part of the day arranging times over WhatsApp or the phone: "anything on Thursday?", "Friday would be better", "I forgot what time it was". An online booking system lets clients pick their own slot, at any time of day. Here's what it should include, which building blocks I already have running in my projects, and when a generic tool makes more sense.

To be transparent: I haven't yet built a medical appointment system as such. But the components it's made of already work in real projects I've developed.

The calendar in a law firm's CRM

In the Osiadacz Abogados CRM, the calendar shows appointments linked to each case, supports recurring appointments, an optional reminder before each appointment, and an ICS calendar feed to sync with the phone's calendar (Google Calendar, Apple).

Online booking with payment: Bosques de Loncotraro

For these cabins between Villarrica and Pucón I built a real-time availability calendar, online booking with Webpay payment confirmed automatically, and an admin panel to block dates. I go into detail in booking software for cabins (in Spanish).

Booking appointments follows the same logic, with blocks of minutes instead of nights.

You don't need an app in the stores: a web app works very well on a phone. I explain why in mobile app or web app?

What your client sees, step by step

  1. They arrive from your website or from the booking link on your Google Business profile.
  2. They pick a service and immediately see its duration and price.
  3. They choose a professional, or let the system show them the first free slot.
  4. They leave their name, email and phone number, and pay in advance if you require it.
  5. They receive a confirmation by email and, before the appointment, a reminder with a link to reschedule if needed.

On your side, the appointment simply appears in your calendar, without you answering a single message. And because the data sits in your own database, you can see who comes back, who didn't show up and which services are most requested.

My advice: if you're a single professional just starting out, a generic tool can be enough. Your own system makes sense when there are several professionals, specific rules, or when you want your data and your brand to stay yours.

How to get started

  1. List your services, with their duration and price.
  2. Set your rules: minimum notice, cancellation, prepayment or not.
  3. Note what wastes the most time today: arranging appointments, no-shows, chasing payments.
